- Mailroom only reads your USPS Informed Delivery emails, which show envelope fronts. It never opens your mail.
- We use your data only to run Mailroom for you. We never sell it, never use it for ads, and never share it with data brokers.
- Envelope images are deleted within 30 days of being read.
- Nothing goes out in your name without your yes.
- Text "delete my data" anytime and we erase your household's data and disconnect your email.
What we collect
- Your phone number and messages you send to Mailroom, and the replies it sends you.
- Read-only access to your email, which Mailroom uses only to find and read USPS Informed Delivery emails. It does not read your other email.
- Envelope scans from those emails, and what Mailroom reads from them: the sender, the name and address on the envelope, the type of mail and the date.
- Household details you tell us, such as who lives with you, your address and your preferences.
- For letters you approve: the recipient's address, the letter text and, if you provide it, your signature.
How we use it
Only to provide Mailroom to you: reading your mail scans, answering your questions, preparing the letters and opt-outs you ask for, sending the ones you approve, and letting you know when something deserves your attention.
Information from Google
Mailroom's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We request read-only access. We don't use Google user data for advertising, don't sell it, don't transfer it except as needed to provide Mailroom's features to you, and don't use it to train general AI models. People at Mailroom don't read it unless you ask us to, it's needed for security, or the law requires it.
Who helps us run Mailroom
We share data only with service providers that process it on our behalf to run the service:
- Anthropic, which provides the AI that reads scans and writes replies
- Linq, which delivers iMessages
- Lob, which prints and mails letters you approve
- Kernel, which runs the secure cloud browser Mailroom uses for website tasks you ask for, including the logins you type in yourself
- Cloudflare, which runs our website and network connections
- Google, your email provider, if you connect Gmail
We never sell your data, never use it for advertising, and never share it with data brokers.
Other people's names on your mail
Envelopes can show the names of former residents and other people. Mailroom uses them only to fix your own household's mail, for example asking your post office to stop delivering a former tenant's mail. We don't combine them across households and we don't sell or share them.
How long we keep it
- Envelope images: deleted within 30 days of being read.
- What Mailroom learned from them, and your conversation: kept while you use Mailroom, so it can track progress and remember context.
- Everything: erased when you text "delete my data" and confirm, and your email access is revoked.
Your choices
- Text pause to stop messages Mailroom sends on its own; text STOP to stop all messages.
- Text delete my data to erase your household's data.
- You can also remove Mailroom's access to your Google account at myaccount.google.com/permissions.
Security
We limit access to your data to what's needed to run Mailroom. The AI never sees passwords or keys, and we never ask for passwords, Social Security numbers or account numbers in a message.
Children
Mailroom is for adults 18 and older.
Changes
If we change how we use your data, we'll update this page and, for meaningful changes, tell you by text before they apply to you.
